Sample Proposal Format – Grants over $50,000

Large requests typically require more comprehensive applications, and typically consist of two sections: the Proposal Narrative Guidelines and Proposal Budget Format.  Letters of endorsement from the head of the applying organization must accompany each funding submission and a detailed final budget must demonstrate review by the Project Director, Superintendent, Curriculum Coordinator, or Director of Research and Evaluation.

This type of grant application will require a detailed Proposal Budget.  Contact your Great Source Representative for assistance in preparing your own project budget.

SAMPLE OUTLINE – GRANTS OVER $50,000

Executive Summary

This summary should be no longer than 1-2 pages and include the following:

Your organization's mission
Project goal (Describe what you hope to accomplish with foundation support.)
Strategic objectives (Describe strategies you've chosen to accomplish your goal.)
Proposed activities (Briefly list major activities to support strategic objectives.)
Support for teachers, principals, administrators, school personnel;
Products (List expected tangible results of foundation support, e.g., printed material, video, CD-ROM, and Internet publication.)
Expected outcomes (Briefly describe short-term, measurable results.)
Key staff (List contact information for persons accountable for the project.)
Amount requested from the foundation
Beginning and ending dates of the project (beginning on the first day of a month and ending on the last day of a month, e.g., June 1, 2004 to May 31, 2005.)

Proposal

This should be a fully-prepared, readable document between 10-20 pages.  In your narrative, address the following sections in detail:

Rationale and Context

Describe the main issue or problem, its significance, and its relevance to the foundation’s current program interests as noted in its published materials and website.
Describe the project's relevance to your organization's mission and how it fits within your organization's institutional structure.
Identify major related work in the field. Describe how your work differs from, contributes to, or complements the work.

Design and Activities

Describe proposed project activities in detail. Specify which activities you are requesting the foundation to fund.
Provide a timetable (steps to be taken, by whom, and when).
What do you expect to accomplish with Corporation funds? Describe expected immediate and long-term impacts. Describe specific strategies.
Describe the status of the work and accomplishments to date, if applicable.
Include a dissemination plan if dissemination, promotion, or public outreach activities are proposed. Identify target audience.
Describe plans for sustainability, if applicable.
If you plan to collaborate with other organizations, list your collaborators and describe the contributions they will bring to the project.
Provide management and staffing plan for current staff or staff to be hired.
Describe your organization's capacity to implement and administer the proposed activities.
As an appendix, provide resumes of key program staff who will implement and supervise activities (identify lines of authority).

Evaluation Plan

Realizing that not every result can be quantified, describe your methods and timetable for assessing project results. What would constitute success? What would constitute failure? How will you track the impact of your activities over time?
Similarly, describe your methods and timetable for assessing the effectiveness of your dissemination plan.

Please all information requested by the funding organization below in attachments to the proposal, including:

Proposal Budget
Resumes of key project personnel
Audited financial report and Letters of Support
